About the Parcel Shipping Cost

Shipping cost calculations involve more complexity than most senders expect, primarily because couriers charge based on whichever is greater: the actual weight of the parcel or its volumetric (dimensional) weight. Volumetric weight was introduced by the industry to prevent large, light packages (pillows, packaging materials, balloons) from consuming disproportionate aircraft and van space relative to their weight-based revenue. The standard volumetric divisor used by most couriers is 5,000 cmยณ per kg โ€” so a parcel measuring 40cm ร— 30cm ร— 20cm has a volumetric weight of (40ร—30ร—20)/5000 = 4.8 kg regardless of whether it contains a pillow (0.5 kg actual) or a hardback book (1.5 kg actual).

Parcel shipping in the UK is served by a competitive market: Royal Mail (owned by International Distributions Services, recently acquired by Czech billionaire Daniel Kล™etรญnskรฝ), Evri (formerly Hermes), DPD, DHL, UPS, FedEx, and Parcelforce. For domestic parcels under 20 kg, Royal Mail and Evri are typically the most cost-competitive; for international parcels over 2 kg, specialist courier comparison sites (Parcel2Go, Parcelhero, SendMyBag for luggage) can offer significant savings over direct courier rates. The underlying carriers are often the same โ€” comparison sites act as commercial intermediaries negotiating bulk rates.

Post-Brexit, shipping from the UK to EU countries requires customs documentation for commercial items above ยฃ135 in value โ€” a customs declaration (CN22 or CN23) listing the contents, value, and HS (Harmonised System) commodity code. Personal gifts between individuals have a de minimis threshold of ยฃ39 in most EU countries. Import duties are paid by the recipient in the destination country (Delivery Duty Unpaid/DDU) unless you opt for Delivery Duty Paid (DDP) โ€” the latter requires a customs broker or courier to handle duty prepayment on your behalf. Failing to complete customs documentation correctly results in parcels held at borders, recipients facing unexpected bills, and occasional returns.

How it works

Volumetric Weight (kg) = (L ร— W ร— H in cm) / 5000
Chargeable Weight = max(Actual Weight, Volumetric Weight)
Shipping Cost = max(Minimum Charge, Chargeable Weight ร— Rate per kg)

Where

L ร— W ร— HExternal dimensions of the parcel in centimetres
5000Standard volumetric divisor (cmยณ/kg) used by most air/express couriers; some road couriers use 4000 or 3000
Chargeable WeightThe weight the courier charges for โ€” whichever is larger: actual or volumetric
Minimum ChargeMost couriers apply a minimum charge even for very light/small parcels

Worked example

Sending a gift hamper to France: box dimensions 50cm ร— 40cm ร— 30cm, actual weight 3.5 kg.

Volumetric weight = (50 ร— 40 ร— 30) / 5000 = 60,000 / 5000 = 12 kg.

Chargeable weight = max(3.5, 12) = 12 kg (volumetric applies).

At a typical international rate of ยฃ8/kg for Europe: 12 ร— ยฃ8 = ยฃ96.

If you repackaged into a tighter box (40cm ร— 30cm ร— 25cm): volumetric = 30,000 / 5000 = 6 kg.

Chargeable weight = max(3.5, 6) = 6 kg โ†’ cost = 6 ร— ยฃ8 = ยฃ48.

Tighter packaging saves ยฃ48 โ€” more than the courier cost itself.

Tips to improve your result

  • 1.

Always measure the external dimensions of your packed parcel, not the internal dimensions or the product size. Couriers measure the external package โ€” bubble wrap, box walls, and padding all add to the dimensions that determine volumetric weight.

  • 2.

Compare prices across carriers before shipping, especially for international parcels. Comparison sites (Parcel2Go, Parcelhero) aggregate rates from 10+ carriers and can show differences of 30โ€“50% for the same parcel. Royal Mail international tracked services are competitive for lighter parcels; for heavier items, DHL or FedEx international economy often wins.

  • 3.

For regular business shipping, negotiate volume rates directly with a carrier or use a shipping platform (Shippo, Sendcloud, Easyship) that aggregates volume discounts. Volume rates of 20โ€“40% below standard retail prices are achievable at 50+ parcels per month.

  • 4.

Post-Brexit EU shipping: attach the customs label correctly (outside the main label, visible to customs scanners), include an accurate HS code for your goods (the UK Government Trade Tariff tool is free and searchable), and keep the declared value accurate โ€” customs fraud carries significant penalties and routine undervaluation is well-known to border agencies.

  • 5.

For fragile items: courier liability for damage is limited (typically ยฃ25โ€“50 for standard services; full value insurance is available as an add-on). Pack fragile items with 7โ€“10 cm of cushioning on all sides, use double-wall corrugated boxes for anything over ยฃ50 in value, and photograph the packed contents before sealing as evidence for any claims.
